How do I have a stall at the Gymkhana?
Stallholders must first submit an Online Application and will be notified if it has been successful usually within 14 days.
Do I need Product Liability Insurance?
It is a mandatory requirement that a Stallholder have in place insurance to cover product liability with a minimum of $10 million cover in the Stallholder’s name if the Stallholder offers for sale any of the products listed below.
Second hand electrical goods and toys
Cosmetics and beauty products
Medicines, Potions, Oils, Fragrances and Soaps
Massage, manipulation of muscle, chiropractic or similar
A copy of the certificate of currency of the product liability insurance must be supplied to the Manager before a Stallholder may trade.
Stallholders must ensure that any insurance provided by it is renewed and remains current for the term that the Stallholder undertakes Trading Activity at the Gymkhana.
Do I have to pay to have a stall?
Yes. There is a fee for a stall at the Gymkhana per 3x3m space, this fee is variable based on the products your market is selling and the price of these products. The minimum market fee is $10 per stall, and maximum $40 per stall. Stall fees must be paid prior to the day of the Gymkhana. Stallholders must register online to receive confirmation of their booking, a team member will be in touch prior to event day to take payment.
What markets will the Gymkhana have?
Only Approved Products are permitted to be displayed and sold.
You may apply to sell arts and crafts, horse equipment, home wares, object design, photography, furniture, fashion, food, jewellery, vintage & pre-loved clothing, unique home wares, accessories, etc. and other items approved by the Manager on a case by case basis.
I don't own a gazebo, can I still have a stall?
Yes, however you will be open to the elements on the day - wind, sun, rain. Please notify us if you WON'T be bringing a shelter and we will try to accommodate you either inside, or in a shaded position.
Can you provide me a table?
Yes, subject to availability. Please notify the team in advance if you would like us to provide you with a table.
I need power for my market, can I run an extension lead?
There is limited power sources at the community grounds, please notify us in advance if you require power. You will need to bring your own extension lead.
Where do I go to unload and load? What time do I arrive?
Horse floats will start arriving from approximately 8am, however we understand market stall holders may not want to set up this early. We ask that you set up by 10am at the latest and stay until at least 3pm, with the final event concluding at approximately 5pm. Stall locations will be allocated on a first in best dressed basis. Vehicles will be parked either behind stalls, or within 10m walking distance to stalls.
What happens if it is raining?
A call will be made approximately 5 days out from the event as to whether it will go ahead with the rain forecast. If the rain is forecast to be extremely heavy in the lead up to and on the day of the event, it will likely need to be cancelled. If the rain is light, the event will still go ahead after a safety inspection of the grounds.
